Patient Reminder Calls for Clinics — Fewer Failed Preps, Fewer Empty Slots

Inadequate bowel prep rates are commonly reported in the 15–25% range — and every failed prep is a procedure slot your centre already staffed and paid for. CareCall phones each patient through every step of prep, on schedule, and reports completion back to your team. Your staff make zero calls. Your patients install nothing — they just answer the phone.

The 7:15 AM problem every endoscopy manager knows

The room is staffed. The scope is ready. Anaesthesia is on the clock. And the first patient of the day either doesn't show up, or shows up having taken half the prep — or none of it, because the split dose was scheduled for 4 AM and nobody in the history of instruction sheets has ever set an alarm for that voluntarily. The procedure gets cut short, aborted, or cancelled on the spot. The slot can't be refilled on an hour's notice, the patient goes back onto a waitlist that's already months long, and your centre absorbs the cost of a fully staffed room doing nothing.

Rates of inadequate bowel prep are commonly reported in the 15–25% range across the published literature — which means that on a ten-patient list, one or two procedures are routinely compromised before the patient even walks in. If you run the numbers on your own cancellation and repeat-procedure data, you almost certainly already know this. It's one of the largest recoverable losses in an endoscopy unit, and one of the few that doesn't require new equipment, new staff, or new clinical protocols to fix.

Because here's the thing: a failed prep is almost never a compliance problem. It's a logistics problem. The instructions are two pages of small print. The timing spans three days with steps at 8 AM, 9 AM, 4 PM, 10 PM, and 4 o'clock in the morning. Many of your patients are in their 70s and 80s, live alone, and don't use smartphones. They don't need another portal login or a PDF. They need someone to call them at the right moment and tell them, in plain language, exactly what to do next.

That's what CareCall AI does. It began as a family tool — our founder built it when his own father, living alone after a heart attack, needed a four-bottle eye-drop regimen managed by phone (the story is in our post-cataract eye drop schedule guide). Families now use it for everything from knee replacement recovery to bowel prep. The clinic program takes the same call engine and points it at your procedure list.

How it works for your clinic

There is deliberately no software to deploy, no integration project, and no committee required. Three steps:

  1. You send us a consented patient list. Name, phone number, procedure date, preferred language — the details your booking staff already collect. Patients consent to the reminder calls when the procedure is booked; a one-line addition to your existing booking script is usually all it takes.
  2. We schedule the calls automatically. You give us the procedure date once; the full prep-call sequence places itself at the right times over the final days. The scripts are matched to your clinic's instruction sheet — your prep product, your dose times, your arrival instructions.
  3. Patients just answer the phone. A warm, unhurried voice reads the step out loud and asks for a single keypad press to confirm. No app, no portal, no password, no login — for the patient, the entire program is a phone call, which is technology they've been using their whole lives.

While the calls run, your staff see the results: who confirmed each step, who asked for help, who never picked up. Instead of phoning twenty patients, your team phones the two who actually need a human — before the list day, not at 7:15 AM.

What your patients hear: the colonoscopy prep call schedule

This is CareCall's Colonoscopy Bowel Prep pack — the default six-call sequence, scheduled automatically off each patient's procedure date. Every call reads the step in plain language and waits for a keypad confirmation. It's the same pack families set up themselves on our colonoscopy prep reminders page; for clinic programs, we configure it once to match your handout and apply it to your whole list.

CareCall Colonoscopy Bowel Prep pack — default call schedule
WhenCall timeWhat the call reminds the patient to do
Two days before the colonoscopy
2 days before 8:00 AM Start a low-fiber diet today. Avoid nuts, seeds, whole grains, and raw fruits and vegetables. Follow your doctor's specific instructions.
The day before the colonoscopy
Day before 9:00 AM Switch to clear liquids only, starting now — no solid food. Water, broth, apple juice, ginger ale, plain tea or coffee are fine. Avoid anything red or purple.
Day before 4:00 PM Drink the first dose of the bowel prep solution. Mix as directed and drink it within the time window the doctor specified. Stay near a bathroom.
Day before 10:00 PM Drink the second dose of the bowel prep solution. Some preps only need one dose — follow your doctor's specific instructions.
Morning of the procedure
Procedure day 4:00 AM Drink the final dose now if the doctor instructed a split-dose schedule. Nothing else by mouth after this until the procedure.
Procedure day 7:00 AM Get ready and head to the clinic. Bring the health card, insurance info, a current medication list, and someone to drive home — no driving after sedation.
Your clinic's instructions always come first

The times above are editable defaults, not medical advice. Prep timing varies by prep product (PEG, Suprep, Clenpiq, pico-salax and others), by morning versus afternoon lists, and by your unit's own protocol — so before a program starts, we mirror your instruction sheet, and every call tells the patient to follow their own doctor's specific directions. Calls never instruct a patient to stop a medication on their own: any medication-hold step (blood thinners, diabetes medication) is always phrased as "confirm the exact instruction with your doctor." CareCall handles reminder logistics; your clinicians set the plan.

Running a surgical centre rather than an endoscopy unit? The same engine runs our surgery pre-op sequence — the week-out medication-hold confirmations, fasting cut-offs, antiseptic wash and morning-of logistics — and a shorter fasting-only pack for upper endoscopy (EGD) patients. The 4 PM and 10 PM calls above are the difference-makers for colonoscopy; for surgery, it's the fasting call the evening before.

What happens on each call

At the scheduled time, CareCall rings the patient's regular phone — landline or cell. A warm voice reads the exact step, then offers four simple keypad choices. No menu trees, nothing to remember:

1

"I'm all set"

The step is confirmed. It's logged for your report, and any family caregiver on file gets a quiet confirmation text within seconds.

2

"I need a ride"

Critical on procedure day — no driving after sedation. The patient's family is texted immediately, and the flag appears in your report so staff can follow up.

3

"Something's wrong"

The patient needs help or may need to reschedule. Family caregivers get an urgent SMS, and the patient is flagged for your staff — while there's still time to save the slot.

4

"Call me back later"

The patient picks 30 minutes, 1 hour, or 2 hours, and CareCall calls back. Pressing 9 at any point replays the whole message.

When nobody picks up

  1. Automatic retry. An unanswered call is retried 30 minutes later. The system distinguishes voicemail, no answer, and accidental hang-ups.
  2. Escalation. Two missed calls in a row trigger an SMS alert to the patient's family caregiver, and the patient is flagged in your clinic report.
  3. A short human follow-up list. Your staff open the day's report and see exactly who needs a call — typically one or two names, not the whole list. A missed 10 PM dose becomes a five-minute intervention instead of a cancelled procedure the next morning.

Run a free 20-patient pilot

We don't ask clinics to take any of this on faith. Measure it on your own list first.

The pilot, in plain terms

Pick your next 20 colonoscopy patients (or a mix of colonoscopy and surgical pre-op). We configure the call scripts to your instruction sheet, run the full reminder sequence for every patient, and hand your team a completion report at the end. No contract, no setup fee, no software installed on your side — and nothing for your patients to install, ever.

What we need from you

  • A consented list: name, phone, procedure date, language
  • A copy of your prep instruction sheet
  • A staff contact for the reports

What you get back

  • Per-patient call log: answered, confirmed, escalated
  • Pre-list flags for the patients who need a human call
  • End-of-pilot completion report to judge the numbers

If the pilot moves your failed-prep and no-show numbers, we'll quote ongoing pricing based on your volume. If it doesn't, you've spent nothing and lost nothing — and 20 of your patients got walked through their prep either way.

Clinic questions, answered

Is CareCall AI PIPEDA-compliant? How is patient data handled?

Yes. CareCall AI is built and operated in Canada with PIPEDA-compliant data handling. We hold only the minimum needed to place the calls — patient name, phone number, procedure date, and language preference — provided by your clinic under your existing patient consent. Call outcomes are logged solely for your reporting, the data is never sold or used for anything beyond the reminder program, and we delete a pilot's patient data when the program ends, on your instruction.

How are patients enrolled? Do they have to sign up for anything?

Your clinic provides a consented patient list — typically name, phone number, procedure date, and preferred language, collected when the procedure is booked. That is all we need. We schedule the full call pack off each procedure date, and the patient's entire experience is answering their own phone. There is no app, no portal, no account, and nothing for the patient to install or remember.

What languages and voices do the calls use?

Calls are available in English and French, delivered by a warm, natural-sounding voice that speaks slowly and clearly — designed for patients in their 70s and 80s, not for people used to talking to machines. Patients can press 9 at any time to hear the whole message again. If a meaningful share of your patient list needs another language, tell us when you set up the pilot and we will see what we can do.

What does the reporting look like?

You get a per-patient log of every call: answered or not, which key was pressed, and any retries or escalations. Before each list day your staff can see which patients confirmed every prep step and which ones pressed 3 or missed two calls in a row — the exact patients worth a two-minute phone call from your team. Pilots end with a completion report summarizing answer rates, confirmation rates, and escalations across all 20 patients.

What does it cost?

Clinic pricing is custom, based on your procedure volume and how many calls each patient receives — there is no setup fee and no software licence. The 20-patient pilot is completely free, including the completion report, so you can measure the effect on your own failed-prep and no-show numbers before spending anything.

Can patients' families be involved too?

Yes, and it is one of the strongest parts of the system. If a patient has a family caregiver on file, that caregiver gets an SMS the moment the patient confirms a step — or an alert if the patient presses 3 for help or misses two calls in a row. Families can also use CareCall directly for medication and recovery reminders, with a 10-day free trial.
